Universal Email Integration can be used to automatically add customers to Reputation Builder after transactional emails.

How It Works:

  • Unique Email Address: Each location now has a unique email address. Use this address to BCC Reputation Builder when sending transactional emails (like thank you emails or receipts) to your customers. This email will be the trigger to add a customer to the dashboard and send a request.

  • Automatic Customer Creation: The system uses the BCC email to create a new customer and trigger a review request.

  • Flexible Timing: Set a delay for when the review request is sent, ensuring it reaches your customer when they’re ready to provide feedback.

Why Use This Feature?

  • Consistent Customer Addition: Ensure a steady flow of new customers into Reputation Builder. Avoid the hassle and time consuming manual imports and reduce the risk of errors.

  • Easy Integration: Works with nearly any platform you use to send transactional emails. No need for a developer—set it up yourself with minimal effort.

  • Optimize Review Timing: Send requests when they’re most likely to convert.

  • Increase Reviews: More ways to add customers means more feedback for your business.

Getting Started:

  • Go to Integrations in the side navigation bar

  • Find “Universal Email Integration” and click connect

  • On the settings page, configure your request timing to send:

    • Immediately after the BCC email is received

    • 1-23 hours later

    • 1-7 days later

    • 1-12 weeks later

  • Click the email field to copy the location’s email address

  • Paste the address into the BCC field of any transactional email template that gets sent after your customer’s experience.

Tip: Send an email to yourself and BCC the location address to test it out!

Things to Note:

  • Each email address is specific to a location. When you BCC this address, the recipient will be added as a customer to that particular location. Make sure to BCC the correct location's email address when sending transactional emails.

  • No customer will be added if there is more than one main recipient on the transactional email

  • If the system cannot detect a first name or last name from the email data, it will use the fallback name “Valued Customer”

  • Customers may receive requests before 10:00 AM or after 9:00 PM local time, depending on your selections and the time the original email was sent.
